October 2011 Minutes

Minutes 17/10/11 Committee meeting at The Holy Trinity School

Present: Derek Flanagan, Alan Shipley, George Gray, John Lee, Brian Stevens, Dave Edwards and Joe Comper.

Apologies: Alison East (match)

1. Chairman’s Address

Derek welcomed those present to the meeting. Derek mentioned that lessons need to be learnt from this year’s fixtures release, and that we should bring the schedule process forward , probably to mid-August to allow adequate time for proper checking before publication. Alan Shipley offered to create the fixtures for 2012/13 season.

2. Secretary’s report

Alison sent her apologies for missing the meeting. This was due to a clash with her league match. Alison mentioned her dissatisfaction at the way the sportsmanship award was previously published as she felt it was agreed not to proceed in this way.

3. Treasurer’s report

George circulated some up to date income and expenditure sheets. He informed the meeting that K2 were billing 3 months in advance of use rather than after as in previous years.

4. Re-costing of Central League

George circulated the expected expenditure and income from the “Holy Trinity Project” and the centralised divisions. Plans originally based on £3 per player per night therefore £189 per team for the season. This meant the league making a profit of £672. Joe Comper stated his opposition to this costing and felt that the profit was far more than needed and the cost should be brought down rather than up from the previous season, as agreed in prior discussions. A charge of £105 per season was agreed for the C1 division.

For the Premier division at K2, the price would be £4 per player per night. This resulted in £264 per team for the season and a profit of £545. Dave Edwards proposed that the cost be brought down to £3.75 per player per night and this was agreed by the committee.

5. Handicap Competition

Dave informed the meeting that similar to last year all Home and Away teams will be entered into the shield. Horsham have expressed interest in entering 4 of their teams (2x Prem 2x C1) and Copthorne/Maidenbower always wished to enter a team from the C1 division. This meant a total of 27 teams in the competition. Dave will do the draw next week.

6. Junior Development

Joe to email all secondary schools in Crawley and find out if there is potential to get Table Tennis going in these schools. Joe to follow up.

7. County Mall Exhibition

George to re-apply at the end of October as instructed by County Mall.

8. Match Reports & Remuneration

The meeting agreed to pay Joe Comper to enter league tables, averages, match reports and results onto the website. Joe will be paid £20 a week for the season.
The dedicated table tennis web site tabletennis365.com to be reviewed for its suitability and may alleviate the burden in weekly updating of results and tables.

9 Child protection and Welfare Officer

This is a mandatory requirement by the ETTA and HT school. The league to ask for volunteers to take up the role.

10. K2 Co-ordination experiences

K2 going well and Alex Morrison has taken over the running of the premier division. Alison has received a letter in reply to her complaint about the noise. K2 looking into it.

11. Postponements

George read out the rule created RE postponements in the Central venue. This was in response to Trinity postponing a game in a previous week. Joe stated that he was given 6 fixtures in one night by the league. There was no way he could fulfil all fixtures and the committee agreed that in exceptional circumstances, postponements should be allowed. Any postponements during half-terms would be allowed.

12. A.O.B

Reserves should be registered in the lowest team rather than as “reserves”.

All changes to teams must be made by email to the registration secretary.

Registrations to be monitored by George, Derek, Dave and Brian to ensure teams are fair and players are in the right team for their ability.

Alan asked if players can ensure they are serving correctly.

Dave Edwards asked if East Grinstead have formally applied to be in the League. It was agreed that they have satisfactorily applied.

Dave also noticed that Andy Hayes played in the Premier Division without being registered. This was to be followed up. Reminder to be sent to all club secretaries that all players must be registered prior to playing and cannot be registered retrospectively.

Brian Stevens reported that Martin Hoad was registered in the lowest Horsham ( F) team in C1 but has played up in the premier as well as Div 1 . Agreed that he should be de-registered for the premier division.

Alan Shipley volunteered to hold a quiz in March to raise funds for the league. Joe Comper to establish a Friday date in March at HT.
