Minutes of Committee Meeting 03/05/11
Held at Holy Trinity

Present: Dave Edwards, Juliette Chase, Joe Comper, Derek Flanagan, George Gray
1.
AGM Date & Preparation:
The AGM will be held W/B 27/06/11. The committee decided not to go to Holbrook, but has instead booked meeting room facilities at Holy Trinity School. Joe Comper will contact Alison on her return from holiday to finalise and circulate the date.

2.
AGM Agenda and Rule Changes
Alison to distribute rule changes to the secretaries
AGM voting distribution will be allocated on a vote per team per club basis

Web Site Update
The committee agreed that the registration information would be available on the Web Site

4.
Finance Update
All refunds for the cancelled Badminton courts have now been made.

5.
Data Protection
The Data Protection requirements have been checked and we do not have to register under the Data Protection act.

6.
Equipment Moves
The equipment moves will now be done on a needs basis, Steve Pound to notify the Committee when the CHDTTL equipment is to be moved.

7.
Trophies
Two new trophies will be purchased for the winners of the centralised leagues, George to liase with Derek Bunday & Juilette Chase re this.

Juilette to ascertain numbers and purchase the individual Trophies.

8.
H&A Re-structuring
The Holbrook Club has submitted examples/proposlas as to how the re-structuring may be taken forward. This project will be dealt with by a Sub Committee headed up by Dave Edwards.

Junior Development
Funding has been made to Joe for his Schools project.

AOB
Rule Changes
Insert:
If at the end of the season if there is a tie for the winner of a division, the winner will be decided by count back, firstly by matches won, then by matches lost, then by a play off.

Update:
Update Rule 2 “Web Site / Rules and Regulations / League Competition Rules / Teams” alter by the 31st July, to by the 31st August.

Derek Flanagan suggested that the committee should send out an Election of Officers form to the secretaries prior to the AGM he will provide a sample.

Derek talked about his proposal for a meeting Agenda to be inserted into the rules, one or two queries arose and Derek will re draft and re submit his proposal.

The committee decided that the winner of the recently tied K1 division will now be changed to Horsham G.

Joe Comper said he will be putting himself forward for the post of Press Officer

Joe informed the Committee about a Junior Tournement being held at Holy Trinity on the 05/05/11.
